New report helps agency administrators monitor account activity

User Activity Report summarizes the results of filing reviews

Published: April 13, 2023

A new report was recently added to assist agency administrators with tracking user actions and decision making in Tyler Insurance Filings.

The User Activity Report is designed to help agency administrators monitor staff activity, track trends, and identify training needs. The report is available via a new option for agency administrators that appears under the Reports menu:

To access the User Activity Report, select Report and then User Activity Report from the dropdown menu.

The User Activity Report displays the number of filings a user reviewed during the time period selected by the admin. Administrators can search based on the date filings were submitted to the agency (Submission Date), or the most recent date an agency user updated the filing status (Last Action Date).

To generate a User Activity Report, select Date Type, enter date range, then click the View User Activity Report button.

Search results will display a breakdown of filing counts by status (Accepted, Rejected, or Pending) as well as the total number of filings processed by each agency user during the selected time period. You can review search results on-screen or export to a .CSV file for further data analysis.

The User Activity Report results are displayed on screen, showing the number of filings each agency user has accepted, rejected, or marked pending, as well as the number of filings received, and total number of filings processed.

The Tyler Insurance Filings team added the User Activity Report in response to a suggestion from an agency partner at the Kentucky Transportation Cabinet.

"We have at least 10 different staff members responsible for processing Kentucky intrastate insurance filings in Tyler Insurance Filings," explained Mary Cook, Assistant Director of the Division of Motor Carriers. "My management team needs a quick, straightforward option to track progress of clearing any backlog, analyze metrics, and monitor staff productivity. I anticipate this report will help us make more informed decisions and increase efficiencies in our office."

Tyler Insurance Filings has added other features for agency administrators based on user feedback, including an interface to correct the status for filings mistakenly accepted or rejected. Using the Update Filings Status interface, it's now quick and simple for an agency administrator to search for a previously processed filing, select a new status, and add notes explaining the update. The filer will receive a new status notification detailing the change.

Agency Administrators can update the status of a filing that was assigned an incorrect status using the Update Filings Status interface.
